Epic Integration Cost & Planning

Your Epic Integration Cost starts with the Scope.

An Epic integration estimate should explain what you are buying, what depends on the health system and what it takes to operate the connection after launch. Start with scope, not an invented universal price.

For digital health teams, healthcare software companies and health systems.

What belongs in your estimate
  1. 01
    Build

Workflow, authorization, mapping and product changes.

  2. 02
    Validate

Test scenarios, customer review and acceptance evidence.

  3. 03
    Activate

Environment setup, launch coordination and site-specific work.

  4. 04
    Operate

Monitoring, support, updates and additional customers.

Scope first · third-party fees confirmed separately

Your starting point

A useful estimate makes the assumptions visible.

01

What is included

Named workflows, resources, environments and acceptance criteria.

What we define together

A deliverables-based scope with explicit exclusions.

02

What can change

Customer access, supported operations and review requirements.

What we define together

A dependency register with owners and decision points.

03

What repeats

New customer activation and ongoing operational support.

What we define together

Separate implementation, per-site and recurring cost lines.

Scope comparison

Which project are you actually budgeting for?

Compare the work behind the estimate. These are planning scenarios, not price bands.

A focused feature still needs a complete integration.

Keep the scope tied to the data your product needs. Reading removes write-back work, not authorization, data quality or customer activation.

Implementation
Authorization, agreed resources, mapping and product-side behavior.
Validation
Representative data, missing fields, errors and workflow acceptance.
Estimate inputs
Resource operations, target customer, environments and support expectations.
Scope decision

A defined feature and acceptance criteria make a useful estimate possible.

The estimate structure

Four cost lines. Fewer surprises.

01

Implementation

Discovery, authorization, mapping and agreed product changes.

Scoped deliverables
02

Customer activation

Environment setup, validation support and rollout coordination.

Per customer / site
03

Third-party charges

Applicable Epic, middleware or infrastructure charges confirmed with the provider.

Separately confirmed
04

Operations

Monitoring, incident response, API changes and agreed support coverage.

Recurring scope

Timeline planning

Two tracks belong on your launch plan.

Engineering milestones

Work the delivery team can estimate.

  • Requirements and interface feasibility.
  • Implementation and product integration.
  • Test evidence and release preparation.
  • Handoff and agreed operational setup.
External dependencies

Dates that need an owner’s confirmation.

  • Customer access and environment readiness.
  • Permissions and supported-operation decisions.
  • Security and workflow review.
  • Activation and rollout coordination.

A resource does not add a fixed number of weeks. Complexity, available access and acceptance requirements determine the effort.

Control the scope

Reduce rework before negotiating the rate.

01

Start with the smallest useful workflow

Limit the first release to features with a clear clinical or product outcome.

Prioritized scope, not a wish list

02

Validate difficult operations early

Check write support, data gaps and customer dependencies before the full build.

Feasibility decisions before commitment

03

Design reusable customer setup

Separate shared logic from site-specific configuration and onboarding.

Repeatable activation checklist

04

Agree on support boundaries

Define monitoring, change requests and incident ownership before launch.

Explicit implementation and operational scope

Commercial questions

An estimate should explain its assumptions.

How much does Epic integration cost?

There is no universal price. We estimate the agreed workflows, operations, environments and customer rollout, with explicit assumptions and exclusions. Third-party charges and ongoing support are separated from implementation.

Can you provide a fixed-price project?

A defined workflow with validated assumptions can support a scoped proposal. If access or interface feasibility is uncertain, a discovery phase is the more useful starting point.

Are Epic fees included?

Do not assume they are. Applicable program, customer, middleware and infrastructure charges should be confirmed with the relevant provider and listed separately in the proposal.

What should we send for an estimate?

Share the product workflow, required data and operations, target customers, current integration status and desired timeline. Do not send patient information or credentials.

Plan with the right evidence

Confirm the workflow. Then confirm the access.

Epic’s requirements and supported interfaces can change. Use the official documentation alongside your target customer’s implementation requirements.

Does sandbox success guarantee production access?

No. Production use requires the relevant app setup and customer-specific activation, permissions and validation.

What should we prepare for a scoping conversation?

Bring your intended workflow, required data and operations, target health systems, current integration status and any launch constraints. Do not share patient data.
